# Deadlines and reminders counted back from your travel date

> StudentFlow counts each task’s date back from the day you give us: your intake, your landing or your outbound flight. It picks one next action, overdue first, then critical, then high, then the earliest due. It reminds you in the app a week, a few days and a day before a task is due, and once it is late; email is optional, and every deadline can go to your calendar.

**Planning dates, not official deadlines.** The dates here are counted back from the date you give us. Visa decisions, appointments and processing times are set by the authority concerned and can change, so confirm them on the official page before you rely on them or book anything that cannot be changed.

## At a glance

- **Dates come from:** Your intake and travel date, your landing date if you are a newcomer, or your outbound and return days if you are travelling for work. If a date is missing we use a stand-in, so set yours.
- **Next action:** Overdue tasks first, then critical, then high, then everything else, each group by earliest due date. Tasks with no date come last in their group.
- **Reminders:** In the app a week, a few days and a day before a task is due, and once when it is overdue. Email is optional. We do not send WhatsApp or SMS.
- **Calendar:** Download your open deadlines as a calendar file for Google, Apple or Outlook, each with an alert the day before.

## Who needs this

- **Student:** Intake, funds, insurance, visa and travel dates pile up fast. Dates count back from your intake and travel day, so a change to either re-times the plan.
- **Newcomer:** Dates anchor on your landing day, with steps before and after it. Reminders are worded calmly, and steps that belong after landing wait behind the preparation work until you are close to it.
- **Professional:** Dates anchor on your outbound day, with the return day as a second anchor. Your outbound and return flights also go into the calendar file as events.
- **Family:** Reminders belong to the account holder, so a parent does not get notifications. The calendar file can be imported into any calendar, including one you share.
- **Traveller:** Add your own reminders for check-in, passport validity or an insurance start date. They appear in your deadlines list and in the calendar file.

## How it works

1. **Set your dates** — Your intake, landing or outbound day and your travel date live in your profile. Everything else is counted back from them.
2. **See your plan with dates** — Every task shows a due date. Deadlines lists what is open by month with overdue items on top, and your dashboard shows the next few.
3. **Follow the next action** — One task is picked for you by a fixed rule: overdue, then critical, then high, then the earliest due date. It is the same everywhere in the app.
4. **Get reminded** — The bell in the app tells you a week, a few days and a day before a task is due, and when it is overdue, once each. Turn on email reminders in your profile if you want a short digest as well.
5. **Add your own reminders** — Add a title and a date for things the plan cannot know: a fee due date from your university, an appointment, a document that expires. Edit, tick off or delete them any time.
6. **Take it to your calendar** — Download the calendar file and open it in Google Calendar, Apple Calendar or Outlook. It is a snapshot, so download it again after your dates change.
7. **When plans change, update your profile** — Change a date or a detail that affects your plan and it is rebuilt. Tasks you finished, skipped or added yourself are kept, and untouched ones move to their new dates.

## What StudentFlow does for you

- Counts each task’s due date back from your intake, landing or outbound date, and moves tasks you have not touched when those dates change.
- Picks one next action by a fixed rule: overdue first, then critical, then high, then the earliest due date, with undated tasks last.
- Sends in-app reminders for dated plan tasks a week, a few days and a day before they are due, and once when overdue, each only once per task.
- Folds a large batch of new reminders into summary notices, so the bell never floods.
- Emails a short digest only if you opted in, at sign-up or with "Email me my reminders" in your profile.
- Lets you add, edit, complete and delete your own reminders. Deadlines that come from a plan task follow that task and can be skipped but not deleted here.
- Exports your open deadlines, your own reminders included, as a calendar (.ics) file with an alert the day before. Professionals also get their outbound and return flights.
- Rebuilds your plan when key details change, and keeps tasks you finished, skipped or added yourself.

## What to check first

- [ ] Your intake, landing or outbound date is set, and it is the date you actually mean.
- [ ] You have checked official processing times with the authority that decides, because a planning date is not a promise from them.
- [ ] Email reminders are on if you want them, and your email address in your profile is correct.
- [ ] You have downloaded the calendar file and added it to your calendar, and you know to download it again after changes.
- [ ] You have added your own reminders for things the plan cannot know, such as a document’s expiry date.
- [ ] You look at Deadlines regularly, and skip tasks that do not apply to you so they stop counting.

## Common mistakes

- Treating a planning date as an official deadline. Processing times and appointment dates come from the authority, not from us.
- Never setting a travel or landing date, so the plan runs on a stand-in date.
- Assuming the calendar file updates itself. It is a snapshot.
- Expecting your own reminders to send notifications. They show in your list and calendar file; the reminder run covers dated plan tasks.
- Ignoring overdue items. A task that would already be late is given a few days and a higher priority, but it still needs doing.
- Marking a task done before it is, which removes it from the reminders.

## Frequently asked questions

### Is the deadlines and reminders feature free?

Yes. Dates, the next action, in-app reminders, your own reminders and the calendar export are free and do not depend on buying anything. Email reminders are free too, and you choose whether to receive them. Nothing about the feature changes if you never book a service through StudentFlow.

### How are my deadlines calculated?

Each task has a rule such as "a set time before travel", counted back from the date you gave us: your intake, landing or outbound day. If you have not set one, we use a stand-in so the plan is usable. These are planning dates. Official deadlines and processing times come from the authority concerned.

### What happens to my dates if my plans change?

Update the date or detail in your profile and your plan is rebuilt. Tasks you finished, skipped or added yourself stay as they are, and tasks you had not touched move to their new dates. You can also press the rebuild button on your journey page.

### When will I get reminders?

For a task with a date, you get an in-app reminder a week before, a few days before and a day before it is due, and once when it becomes overdue. Each reminder is sent once per task. If many arrive at once, they are folded into a summary so the bell does not flood.

### How do I get email reminders?

Email is opt-in. Tick "Email me my reminders" in your profile, or the reminders-and-offers box at sign-up. You then get a short digest when a task is due soon or overdue. You can turn it off in your profile at any time. In-app reminders work without it.

### Can I add my own deadlines?

Yes. Add a title and a date on the Deadlines page, then edit, tick off or delete it later. Your own reminders show in your list and in the calendar file. They do not trigger notifications, so use them for things you will look at, such as a document’s expiry date.

### Can I put my deadlines in Google or Apple Calendar?

Yes. Download the calendar file from the Deadlines page and open it in Google Calendar, Apple Calendar or Outlook. Each open deadline becomes an all-day event with an alert the day before. It is a snapshot, so download it again after your dates change.

### Do you send WhatsApp or SMS reminders?

No. Reminders come through the bell in the app, an optional email digest and the calendar file you import. We do not send WhatsApp or SMS messages. If that changes, this page will say so, and you will choose whether to receive them.
