Airport transfers in the UK, Canada, Australia and Germany

A pre-booked airport transfer gives you a named driver, a vehicle that fits your bags and a price agreed before you fly. Give the operator your flight number, check that it is licensed where you land, and only get into a vehicle you booked. StudentFlow prefills the transfer from your flight and keeps the booking beside the rest of your plan.

Airport transfers at a glance

Best for
Anyone landing late, with heavy bags, with children or family, or in a city they do not know yet.
Book when
You have a flight and a landing time. Book the flight first and the transfer form can prefill from it, then update the transfer if the flight changes.
Check first
That the operator is licensed where you land, that the vehicle fits people and large bags, what happens if your flight is late, and whether a child seat or meet-and-greet is included.
Pairs with
Your flight, a local eSIM so you can reach your driver, and a first-night stay with an address to give the driver.

Who needs this?

  • Student

First-time flyers often land with two large bags and no local SIM. Pre-booking turns the first stretch after landing into a known step, and you can send your hall or host the arrival time.

  • Newcomer

Landing with a partner, children and a lot of luggage needs a bigger vehicle and sometimes a child seat. Book a vehicle that fits all of you and every bag, and share your arrival details with whoever is hosting you.

  • Professional

A named driver with meet-and-greet, and a confirmation you can forward to your employer’s travel desk, saves time when the first meeting is close to landing.

  • Parents & family

Parents visiting a child abroad can have a driver meet them at arrivals, which helps with luggage, a long drive and unfamiliar signs. Send the driver’s details to your child before you fly.

  • Traveller

For holidays and city breaks, compare a fixed-price transfer with the official taxi rank or public transport, and weigh your luggage, your arrival time and how much you want to work out after landing.

How it works, step by step

  1. Start from your flight

After you book a flight in StudentFlow, the confirmation page offers “Add airport transfer for this flight”. The airport, arrival date and time, flight number, passengers and bags are prefilled. You can also start without a flight and type them in.

  2. Check the arrival details

Confirm the airport, the date, the local time your flight lands, how many passengers and large bags you have, and where you are going: an address, a hotel or an area.

  3. Compare vehicles

You see the sedan, SUV and van options that can carry your passengers and large bags, each with who it is sold by, what is included and a price breakdown. Any late-night surcharge appears as its own line. Sort by price or by the smallest vehicle first.

  4. Add passenger details and extras

Enter the name the driver should look for and a phone number they can reach; only the last digits are shown on your booking. Add the flight number, and tick meet-and-greet or a child seat if you need them.

  5. Pay and keep your booking

The price is held for a short time while you fill this in, and if it runs out you search again. After payment you get a booking reference, and the matching task in your plan is ticked off.

  6. Follow the driver details

Your driver and vehicle details appear on the booking once the partner assigns them, closer to the date, and the status moves to “driver on the way” on the day. The cancellation rules are shown before you pay.

What StudentFlow does for you

  • Prefills the transfer from your booked flight: airport, landing date and time, flight number, passengers and bags, so there is less to type and less to get wrong.
  • Shows only vehicles that can carry the passengers and large bags you entered, with sedan, SUV and van options priced as a whole vehicle, one way.
  • Lists meet-and-greet and a child seat as extras you choose, shows when a partner already includes meet-and-greet, and puts any late-night surcharge on its own line.
  • Holds the quoted price for a short time and re-checks it with the partner before booking, so what you see is what you pay.
  • Shows the driver’s name, vehicle and a masked phone number on your booking once the partner assigns them, and keeps the booking reference with your other plans.
  • Ticks off the airport pickup task in your journey when the booking is made.

What to check first

  • The operator is licensed where you land. In London, TfL’s licence checker covers drivers, vehicles and operators; other countries and cities have their own regulators.
  • The confirmation names the operator, gives meeting instructions and a contact number, and says what happens if your flight is late or early.
  • The vehicle fits every passenger and every large bag, with room for the bags you carry on.
  • You gave the flight number, and you know whether waiting time is included or charged if you are slow through border control or the baggage hall.
  • You know how to recognise your driver: the name on the sign, and the vehicle and plate shown on your booking.
  • A child seat is confirmed in writing if you need one, because rules and availability differ by country.
  • You can be reached after landing: a local eSIM, an airport wifi plan, or your host’s number written down and saved offline.
  • The change and cancellation terms are clear before you pay.

Common mistakes

  • Accepting a ride offered inside the arrivals hall because it looks easy. Unbooked offers can mean an unlicensed vehicle or an inflated price; use your booking or the official taxi rank.
  • Booking a sedan for a family and a pile of bags, then finding at the kerb that nothing fits.
  • Giving the departure time, or the time of a first leg, instead of the local time your last flight lands at your destination airport.
  • Leaving out the flight number, so the operator cannot see that your flight is delayed.
  • Not telling the driver or your host when the flight changes.
  • Relying on mobile data you do not have yet to find the booking: save or print the details before you fly.

Airport transfers: common questions

Should I pre-book an airport transfer or take a taxi or app ride?

Pre-booking gives you a named driver, a vehicle that fits your bags and a price agreed before you fly, which helps if you land late, with family or without a local SIM. Taxis and app rides can work well when you know the city and have data. Neither is always cheaper, so compare what is included, not just the headline price.

What happens if my flight is late or early?

Give the operator your flight number when you book so they can see changes. How long a driver waits, and whether waiting is charged, differs by operator, so read that line in your confirmation or ask before you pay. If your plans change, tell the operator and your host as soon as you can.

Is it safe to accept a ride offered inside the arrivals hall?

It is safer not to. People who approach you inside arrivals may be unlicensed or may overcharge, and soliciting passengers is against the rules in many places. Use the vehicle you booked, or join the official taxi rank outside, and match the driver’s name and vehicle to your confirmation before you load your bags.

How do I find my driver at the airport?

Your booking says where to meet. With meet-and-greet the driver waits in the arrivals area holding a sign with the name you gave. Without it you are usually given a pick-up point. Save the booking and the driver’s number offline, because your data may not work yet, and message your driver once you clear border control.

Do I need a child seat?

Child seat rules differ by country and region, and can be different for taxis and private hire. If you travel with a child, ask the operator in writing whether a seat is provided and what size it suits, and read the official rules for where you land. StudentFlow lets you add a child seat as an extra when the partner offers one.

Will my luggage fit in the vehicle?

Count every large bag, not only the checked ones, and add bulky items such as a musical instrument or a bicycle box. StudentFlow shows only vehicles that can carry the passengers and large bags you enter. If you carry more than usual, choose the larger vehicle or ask the operator before you book.

What should I do if I land late at night?

Pre-book, give the operator your real landing time and flight number, and tell your host or accommodation when to expect you so check-in is open. Some partners add a late-night charge, which StudentFlow shows as its own line before you pay. Avoid unbooked rides at a quiet arrivals hall and share your driver’s details with someone you trust.

Is booking through StudentFlow real?

In the current preview, airport transfers run on demo partners, so no real driver is sent and no real money moves. When live transfer partners are connected, this page will say so and show who operates the transfer and what their waiting and cancellation rules are.
